Create that override the retention fields on a box and prevent record destruction when necessary. Administrators can apply holds that span an entire , customer or department; users can apply hold codes on a box-by-box basis. Together hold codes and record codes form an effective, targeted retention program.
- Select Records Management | Administration | Manage Holds. The Manage Hold Codes screen displays.
- Click Create Hold Code. The New Hold Code screen displays with the Hold Details tab screen open.
- Select a customer from the dropdown list.
- Identify the hold code by entering a unique three-alphanumeric character code and an associated description.
- Select review and approval dates and enter contact information for the requestor and approver. Supply additional information about this hold code in the Notes field.
- Click Save. The hold code is created and you are returned to the Manage Hold Codes screen where the code is listed in alphanumeric order
